Job description:

We’re a fast growing digital marketing agency with a range of products and services including the award winning email marketing platform. dotmailer is a global marketing automation provider headquartered in London. We continue to experience exciting growth in our business since we began in 1999. As part of our continued growth, we have expanded our operations across the UK, EU, APAC and the USA with offices in London, Manchester, Belarus, Sydney, Cape Town & New York.

We’re looking for a new member of our Finance Operations team in our East Croydon office to work on the Sales Order Processing, billing of new and existing clients and to deal with client side related queries.  

You will be working in our Finance department, handling the Sales Order Processing and setting the billing within the dotmailer platform for new and existing clients, ensuring they are billed correctly. You will also work with our Sales, Account Management and Key Account Management team closely to ensure a smooth process from a billing perspective. You will be trained working with our CRM system, dotmailer system, ZenDesk and SAGE software. On top of these core tasks you will also be required to handle email enquiries and handle incoming phone calls to our department from internal staff and customers. Giving a high level of customer satisfaction will be key in assisting the company grow further.

Key Requirements:

A strong attention to detail, ability to work to tight deadlines and commitment to delivering quality work is essential. You will be organised, professional and passionate about providing great customer service. You should feel confident using IT systems and will have experience of working with data inputting. You must also have experience working within customer service roles.

Intermediate knowledge of Microsoft Office (including Outlook) is expected (we will train you to use all systems required to perform the job). The department works under a monthly plan (which may change depending on time of year) which aims to hit targets to improve the overall performance of the entire group. Will need to be confident, motivated and have a professional manner.

You will need to have good time management and organisational skills and be willing to learn and show an appetite to progress within the role. You should be comfortable dealing with customers and other 3rd parties via email and telephone, and confident in dealing with disputes.

Day to day responsibilities:

  • Timely management of the incoming CRM queue to invoice and setting up billing on both new and existing clients
  • Handling the entire Sales Order Process
  • Timely management of the department inbox
  • Dealing with incoming phone calls in the department
  • Ensuring key tasks are completed in a timely manner to ensure customer setup
  • Assisting in closing off the monthly bill run
